    How to Get More Done in Less Time. (Your guide to working smarter, not harder) As a busy dad of 4 building a brand & business, I had to get creative with how I managed my time. I've read dozens of productivity books, listened to the podcasts, and followed the gurus. But it wasn't until I found what worked for me, that I was able to accomplish more with what seems to be less effort. Here's my 5-Step Framework: 1. Prioritize and Plan with Intention - What will move the needle forward today? - Choose 3 high-impact tasks and write them down. - Set deadlines and time limits for each. - Build your day around these priorities—everything else is noise. 2. Time Block Like a Pro - When will you do your best work? - Dedicate focused blocks of time for deep work. - Schedule everything: calls, emails, breaks—even downtime. - Stick to your blocks like they’re non-negotiable meetings. 3. Automate and Systematize - What tasks can you stop doing manually? - Use tech tools to handle repetitive work (e.g., auto-replies, scheduling). - Create templates, SOPs, or workflows for tasks you repeat often. - Free up mental energy for what matters. 4. Batch Similar Tasks - How can you reduce context-switching? - Group related tasks (e.g., emails, brainstorming, admin) and tackle them in one go. - Focus on one "mode" at a time: create, respond, or strategize. - End the habit of jumping between tasks—it kills momentum. 5. Delegate or Outsource - What can someone else do for you? - Identify low-leverage tasks that don’t need your expertise. - Train someone, then trust them to own it. - Stay focused on the high-value work only you can do.     𝗙𝗼𝗿 𝘆𝗲𝗮𝗿𝘀, 𝗜 𝗯𝗲𝗹𝗶𝗲𝘃𝗲𝗱 𝗺𝘆 𝗽𝗿𝗼𝗯𝗹𝗲𝗺 𝘄𝗮𝘀 𝘁𝗶𝗺𝗲. ⏳⁣ ⁣ “𝘐 𝘫𝘶𝘴𝘵 𝘯𝘦𝘦𝘥 𝘢𝘯 𝘦𝘹𝘵𝘳𝘢 𝘩𝘰𝘶𝘳 𝘪𝘯 𝘵𝘩𝘦 𝘥𝘢𝘺!”⁣ “𝘖𝘯𝘤𝘦 𝘵𝘩𝘪𝘯𝘨𝘴 𝘴𝘭𝘰𝘸 𝘥𝘰𝘸𝘯, 𝘐’𝘭𝘭 𝘨𝘦𝘵 𝘦𝘷𝘦𝘳𝘺𝘵𝘩𝘪𝘯𝘨 𝘥𝘰𝘯𝘦.”⁣ ⁣ But no matter how many strategies I tried or how many planners I bought, the overwhelm remained. That’s where the secret lies. 🔑 Here’s what I’ve learned:⁣ ⁣ 1️⃣ 𝗖𝗹𝗮𝗿𝗶𝘁𝘆 𝗶𝘀 𝗲𝘃𝗲𝗿𝘆𝘁𝗵𝗶𝗻𝗴.⁣ Not all tasks are created equal. Define your priorities and let go of what doesn’t align with what you truly need.⁣ 2️⃣ 𝗘𝗻𝗲𝗿𝗴𝘆 𝗳𝘂𝗲𝗹𝘀 𝗳𝗼𝗰𝘂𝘀.⁣ Ever notice HOW HARD it is to concentrate when you’re exhausted? Protect your energy by setting boundaries and taking care of your mental and physical health.⁣ 3️⃣ 𝗗𝗶𝘀𝘁𝗿𝗮𝗰𝘁𝗶𝗼𝗻𝘀 𝗮𝗿𝗲 𝘁𝗵𝗲 𝗿𝗲𝗮𝗹 𝘁𝗵𝗶𝗲𝗳.⁣ The key is to learn how to work smarter. Turn off notifications, create a dedicated workspace, and reclaim your attention. One technique that can help a lot is the Pomodoro method, which involves focusing fully for 25 (or even 45) minutes without distractions, followed by a 5—to 10-minute break.⁣ 4️⃣ 𝗬𝗼𝘂𝗿 𝗰𝗮𝗹𝗲𝗻𝗱𝗮𝗿 𝗿𝗲𝗳𝗹𝗲𝗰𝘁𝘀 𝘆𝗼𝘂𝗿 𝗳𝗼𝗰𝘂𝘀.⁣ I like to say, “If it is scheduled, it will get done.” Align your calendar with your priorities, not just your obligations.⁣ ⁣ The moment I stopped chasing “more time” and started cultivating better focus, everything changed.     Hey you...super nice rep who loves helping others, always replies to Slacks immediately, and loves your account team to death You need to be WAY more selfish Do these bullets apply to you? - You prioritize internal comms whenever someone needs you - You reply to Slacks/emails with extreme urgency - You never say no to an assigned project - You always make time for colleagues who have questions - You volunteer for optional items constantly On the one hand, your org is lucky to have you acting as the glue! BUT if you checked a couple of those boxes... You are not protecting your time enough Your first obligation is to yourself - the work you need to get done, your development, and your personal time You can still add work beyond that, but first ask yourself: - Do I have time in the day to accomplish my main job? - Do I have trouble getting in the flow for work? - Do I feel like some of the work I do isn't helping my role? I would enlist a partner (such as your manager) to help add perspective Then, start taking your time back bit by bit (won't change overnight): ⏳ Align with an Accountabilibuddy share your goal of saying "no" to more things ⏳ Make sure your manager is aware of this goal ⏳ Find the BEST times a day for your productivity and BLOCK them ruthlessly ⏳ Let your peers know when you will be in "deep" work ⏳ Learn to default to no on asks for your time or optional work. You can almost always say yes after some time to think about it ⏳ Get technology to work for you: Slack and email notifications should come when YOU want them to. Spend some time here Once you lock down a stellar organizational rhythm, you can start adding projects and tasks that serve your work and development goals in an intentional way!
