    This weekend I kickstarted my "Yearly Review." I begin with a simple exercise to prime my brain into a state of reflection. It's called the "Proof of Growth" prompt—here's how it works: The goal of my Yearly Review is simple: • Recap the past year • Extract lessons & realizations • Set my intentions for the year ahead So to get the process going, I set the frame to give me tangible evidence of where I've progressed and where I stayed the same. I start my listing out the 6 major areas of my life: 1. Health 2. Wealth 3. Relationships 4. Experiences 5. Operations 6. Business Then, I dig into each one of them by brain dumping where I was a year ago versus where I am now. Here's a list of examples indicators you can compare & contrast: (I'll take a look at each of these and confront the truth about my growth for each of them.) Health • Sleep • Weight • Strength • Flexibility • Cardio ability • Combat training • Nutritional habits • Meditation practice Wealth • Income • Spending • Net worth • Investment allocation • Attitude towards money Relationships • Family ties • Close friends • Romantic situation • Casual acquaintances • Charisma & confidence Experiences • Trips taken • Number of flights • Sporting events attended • Number of nice restaurants • Current apartment / housing situation Business • Team size • Current job • Audience size • Business revenue • Product offerings • Level of excitement • Meeting cadences Operations • Journaling habits • Deep work habits • Average screen time • Productivity systems • Core values & beliefs Now, this is just the beginning of the review. But right away, you will start to notice areas you've excelled and areas you've either regressed or stayed the same. From here, you can start to look for patterns on what propelled you forward and what held you back. And in the next part of the review, I'll show you how to process that information using an "80:20 life audit." Lastly, one personal note on this process: If you're serious about personal progress, you should be in a completely different spot in every one of these areas than you were a year ago. I do this every 6 months because that's my goal—I'm 27 years old and in a period of accelerated personal growth. My life today looks dramatically different than it did 6 months ago, let alone a year. So, use this reflection to confront the brutal truth of your situation & performance during the last year. • Are you in a different spot? • Or are you in the exact same spot? • Or worse, have you moved backward?     I've tried the fancy productivity systems, but here's what works: This 3x5 notecard... Each evening, I sit down at my desk and write down the 3-5 highest impact to-dos for the following day. These are the "important" tasks that directly contribute to my long-term projects or goals. The list is pure—I specifically avoid writing down all of the miscellaneous urgent and unimportant to-dos (more on that later). In the morning, I sit down at my desk for my first focus work block and start at the top of the list, working my way down and crossing off the important items as I get through them. My primary goal is to cross each item off the list by the end of the day. I am intentionally conservative in the number of items I write on the list. It's usually 3, sometimes 4, and very rarely 5. I never want to end the day with open items, so being conservative helps me accomplish that (and get the extra rush from getting through more than I expected). As I go through the day, I stole an idea from Marc Andreessen to use the back of the card to write down and cross off any minor to-dos that I complete (the urgent or unimportant tasks that are not welcome on the front of the card). The process of writing and crossing off an item on the back of the card is a further boost of momentum, so I find it to be a worthwhile exercise. My notecard productivity system is painfully simple, but it's grounded in five powerful realizations: 1. 15 minutes of prep in the evening is worth hours the next morning. By setting out your priority tasks the night before, you eliminate any friction from having to decide what to work on. You hit the ground sprinting. 2. Important > Urgent. By tackling the important to start the day, you guarantee progress against the big picture projects and goals. If my day went to hell after that morning focus block (which it sometimes does with a 1-year-old at home!), it would be ok, because I know I've gotten through much of my important work. 3. Momentum is everything. Crossing important items off your list to start the day immediately creates a winning feeling that you keep with you. Success begets success. 4. Simple is beautiful. If you're spending time thinking about your productivity system, you're studying for the wrong test. That's movement for the sake of movement. You should be focused on progress. 5. Find what works for you. It used to stress me out that I didn't have a beautiful productivity system that would impress others. Then I realized that whatever works for me is the best productivity system. Identify how you operate and find the system that works for you.     Want to be more productive? Approach your work week like a science experiment. Every Friday, I set aside 15 minutes to reflect on my week. I use a simple process: 1. I review my timeboxed calendar and note when I did what I said I would do and when I got distracted. 2. I use my distraction tracker to identify what pulled me off course. Was it an internal trigger like boredom? An external trigger like a notification? Or a planning problem? 3. Based on this data, I adjust my strategy. For example, I may need to remove an app from my phone or schedule office hours to reduce interruptions. Treating your productivity as an ongoing, iterative process will help move you closer to the most effective, focused version of yourself.  My weekly newsletter shares other science-backed productivity and focus insights.     The number one reason top sales reps burn out isn't quota pressure. It's because they work incredibly hard at their job but completely neglect working hard on themselves. Here's what I discovered managing a $195M sales organization: The reps who lasted and thrived weren't the ones grinding 12-hour days in their CRM. They were the ones who built systematic approaches to their entire life. Sales is a game of habits, not just hustle. When you only focus on quota, you're building a house on sand. When you work on yourself systematically, everything improves. The top performers I mentored used what I call the four-part productivity system: #1 The PACER Calendar Method. They color-coded their calendars into five buckets: Personal (purple), Admin/Action (red), Creation (deep work), Enrichment (learning), and Recovery (yellow). This prevented them from being reactive to whatever hit their inbox. #2 12-Week Planning. Instead of annual goals, they broke everything into 12-week sprints with clear micro-steps. They knew exactly what to focus on each week to hit their biggest goals. #3 Daily Win System. Every night, they spent 5 minutes journaling three wins, decisions made, and lessons learned. This prevented the "what did I even accomplish?" spiral that kills motivation. #4 Weekly Reset Protocol. Every Friday, they did a 30-60 minute review of energy vs. time, cleared their workspace, and planned the next week intentionally. When they did these, they showed up with more energy, clearer thinking, and better resilience. Your prospects can feel the difference between someone operating from burnout versus someone operating from a place of systematic strength.     I've been using ChatGPT to organize my entire week, and it's completely transformed how I track progress and plan content. After journaling daily inside a ChatGPT project for a week, I prompt it to create a visual weekly recap that breaks down my vibe, top wins, content ideas, and even what I'm not seeing in myself…all in about 2 minutes flat. This isn't just another AI hack; it's a complete system for self-reflection that actually works. The magic happens when you ask ChatGPT what you're NOT seeing in yourself. That's where the real growth comes in. In my case, it pointed out that I already know the answers but I'm not trusting myself enough. I keep saying "I think I need to..." when I should be owning my expertise. Here's how to set it up: First, create a ChatGPT project specifically for journaling. Each day, drop your thoughts, ideas, and reflections. At the end of the week, ask it to analyze everything and create a visual board with your weekly recap. The prompt is simple but powerful: "I want to do a weekly recap of my entries. Can you look at the entries from [your dates] and give me a summary, content ideas, how I can better myself, and what am I not seeing in myself?" You can customize the output style: Instagram board, sticky notes, whiteboard…whatever matches your vibe.     Senior Developer: The client demo is tomorrow. We need you to stay and fix these bugs. Me: I've completed all my assigned tasks on time. I'm heading home as planned. Senior Developer: Everyone else is staying. It doesn't look good if you leave. Me: I deliver quality work during my hours. My commitment ends at 5pm. --- The most productive employees aren't those who stay late. They're the ones who protect their boundaries and deliver consistently. When companies normalize "emergency" overtime, they're admitting to poor planning, not showing dedication. Top performers know: • You can't pour from an empty cup • Boundaries create sustainability • Rest is as important as work • Quality trumps hours logged Your worth isn't measured by how much personal time you sacrifice.     When was the last time you did an audit of your daily calendar? I absolutely LOVE this illustration from the incredibly talented Liz Fosslien! Her Mood Pyramid, along with the concept of a “calendar audit,” highlights the importance of prioritizing mini-breaks for movement, sunshine, and connection. Research from the American Psychological Association shows that not all breaks are created equally. For example, taking 15 minutes to go for a walk can significantly boost your productivity and energy compared to taking a 15-minute coffee break at your desk. Here are some tips to maximize your "mini-breaks": ✅ Consider the length and timing of your breaks. Shorter, but more frequent breaks, also known as “micro-breaks” are generally better. ✅ Change your break location, get outside. Stretch at a desk versus get outside for a walk? The latter has a higher recharging potential. ✅ Include exercise and physical movement in your break. Exercise is great for boosting our energy, but the benefits are short-lived. It’s actually better to have more mini-exercise sessions over the course of the day. ✅ Take a break by socializing. Spending time chatting with colleagues or a friend discussing a topic unrelated to work can help break your thought process and re-energize you. ✅ Take a break with a furry friend. Break time with a dog has been shown to reduce cortisol levels. Spending time with pets can boost our psychological wellbeing, which in turn boosts our productivity levels.

We started with a look into their sales workflow. 🔹 Sales data lived in HubSpot, but once a deal closed, someone had to manually update Asana to track project progress. 🔹 Internal teams worked from one Asana board, but clients needed visibility into their own project timelines — cue more manual updates. 🔹 With so much repetitive data entry, valuable time was being wasted on low-impact admin work. Here’s what we did: 🔗 HubSpot → Asana automation: We created an integration that auto-generates project tasks in Asana when a deal reaches a certain stage in HubSpot. No more copy-pasting! 📢 Internal and client boards sync: Internal progress updates in Asana now automatically reflect on client-facing Asana projects, reducing the back-and-forth.     I'm excited to share my system for staying productive all day, every day. This system allowed me to sell over $100M in my B2B sales career, then build a 7 figure coaching business working an average of 40 hours/week. Most importantly, my nights and weekends are free to spend with my family. Here's are the 3 simple steps I take every single week: Step 1: Complete a Weekly Plan & Scorecard at the beginning of each week On Monday mornings (or Sunday evening), I print and fill out a Weekly Plan & Scorecard. On this document, I write down all the important tasks and action items I aspire to get done that week in no particular order. I then rank each task in order of priority, typically prioritizing RGA's (Revenue Generating Activities) for my business. I originally took this scorecard from a book called the 12 Week Year, then adapted it to include a "Rank" column, which allows me to prioritize each action item. Prioritizing the Action Items allows me to know where to start every day, and prevents me from getting overwhelmed. Step 2: Daily Task Blocking in Calendar Whitespace At the beginning of each weekday, I fill up all the whitespace on my calendar for that day with high priority tasks taken directly from the Weekly Plan & Scorecard. This ensures that the most important tasks for the week get done first and eliminates daily decision fatigue. The key is to put the specific tasks on your calendar so there's no empty space. If for some reason any tasks on the calendar don't get completed for that day, I move them to the next day in any open whitespace. Step 3: Weekly Scoring At the end of each week, I score my performance using the simple formula: Tasks Completed / Tasks Written Down = Score % My goal is to score 85% or higher each week, although admittedly there are many weeks where I fall short. If there are any tasks that didn't get completed that week, they get moved to the following week. I rinse and repeat this process every single week. This ensures that I SHOW UP every single day, and stay productive throughout the entire work week. Additional keys to success include: 1. Taking short breaks when you feel mentally drained. Stretching, a short walk, and standing desk do wonders to change your state. 2. Minimize the number of daily meetings on your calendar (4 or less is optimal) to stay focused and ensure you have enough whitespace to get deep work done. 3. Give yourself an hour lunch to break up the work day. Every day I have lunch with my wife, and that's also on the calendar. 4. Do one thing at a time 5. If you have an unproductive day, forgive yourself. Of course, this is all easier said than done...
