Why CRM email addresses become invalid

Explore top LinkedIn content from expert professionals.

Summary

CRM email addresses can become invalid over time due to users changing jobs, abandoning accounts, or making updates, which leads to outdated or undeliverable contact information. This ongoing process, known as data decay, can result in higher bounce rates and reduced reach for email campaigns.

  • Check regularly: Make a habit of re-verifying email addresses in your CRM to maintain accuracy and keep bounce rates low.
  • Prioritize data hygiene: Use dedicated email validation tools to clean up your lists and ensure you’re reaching real and active contacts.
  • Review before migrating: Always clean and update your email list before transferring data to a new system to avoid moving outdated information.

Two months ago, I found 1265 email addresses that were 100% valid (deliverable). 🚨Guess how many aren't valid anymore. Here's what I did: 1. I created a list of software industry professionals based in North America. 2. I found their email addresses and only kept the 100% valid ones. 3. I re-verified these email addresses every week for two months. After 4 weeks, 2.8% were no longer valid. After 8 weeks, 3.7% were no longer valid. Why is this important? Because if I sent an email campaign to these recipients, my bounce rate would be higher than acceptable. Just two months after creating my list. Solution: Regularly re-verify email addresses in your CRM/mailing list to: 1. Make sure you reach your prospects and 2. Keep your bounce rate low (important for deliverability.)

Data decay is costing your dealership—more than you think. Did you know that email addresses alone decay at a rate of 2.5% per month? That means over 30% of the emails in your CRM are already outdated within the last year. PSA If you send a mass email campaign and 10% of your list bounces, ISPs will limit your deliverability to 40% or less. That’s a significant hit to your reach. Before investing in moving your data to another system, make sure it’s worth moving. Clean it up, enrich it, and make it valuable. Transferring outdated data from one system to another is just wasting resources. Invest in healthy data management, and make sure your list is working for you, not against you. #QoreAI #DataManagement #AutomotiveIndustry #EmailMarketing #DataQuality #DealershipLife

Your sales emails might be failing before they’re even sent and it’s all because of your email list. Think about the numbers: - Email databases degrade at an average rate of 25.74% per year. - Lower deliverability means fewer opportunities to connect with prospects. - Every invalid email increases your bounce rate and damages your reputation. The result? Missed deals, wasted effort, and a sales funnel that underperforms. The solution? Invest in your list hygiene. Use a tool like ZeroBounce as a part of your toolkit, making sure that: - Verified emails land in inboxes, not spam folders. - You target real prospects, not abandoned inboxes. - Valid addresses drive better open and response rates. Email hygiene isn’t just about avoiding errors. It drives your ROI. Are you proactively managing your email list?
