Summarize meetings and leverage Copilot in Teams
- [Instructor] There are several Copilot tools in Microsoft Teams. First, Copilot can help you revise messages that you write in Teams, so you could start from a Teams channel, a chat, even a meeting. Wherever you are to type your message, look for the rewrite with Copilot button. This is going to open the rewrite panel, and you can choose a different tone or length, or you can have Copilot rewrite your text for you. Now let's see how Copilot can help you out by offering summaries or answering questions about your chat conversations. Let's open up this chat conversation with a coworker. I'm looking for some specific information that we've discussed in the past. Instead of scrolling back and reading through all of these messages, I can just ask Copilot. Here's the open Copilot pane, and I can see that I've already asked Copilot a few things about this conversation before. Now, if you're opening up a conversation and you haven't opened it up in a while, you might see suggestions from Copilots to show you highlights from the past day, or the past seven days, or the past month. Doing that is going to give you a great overview of everything that was discussed in the chat, and you always have these citations, and clicking on 'em will take you directly to that thread and outline it in red so that you can see and verify Copilot's response. You can also ask direct questions. I'll ask, what is the status of the Kineteco contracts? It answers the question and also gives me those citation links so I can go right to the source. You can ask follow up questions and have an ongoing chat conversation with the AI. And finally, you can use the business chat inside of Microsoft Teams. When you're in the chat section of Teams, right at the very top, click the Copilot icon. This is chatting directly with Copilot itself. This is business chat. Remember at the beginning of this course when we were on the Copilot website and there was that switch for work or web? When you choose the work mode, you can ask questions about your schedule, teammates, documents, and other information in your organization. So I'll ask it who was at the weekly team recap meeting. It gives me the summary using private secure information about meetings that I've had with my coworkers. You can even click on the link to go right to the recap, which I'm going to show you in just a moment. It's going to give you that summary using private secure information about meetings. This only works if the meeting is recorded, and I'll show you how to do that in just a moment. I do want to remind you first though that you are not limited to questions about your organization. I could ask something like, how's the weather in London? And Copilot can still answer that question using information from the public internet. But let's talk about this recap in summarizing meetings. I'm going to go over to the calendar section. I'll start a meeting. For now, I'm going to be in the meeting alone, but we'll be able to see everything that we need to see. For Copilot to offer an AI summary of your meetings, you'll need to record those meetings. To do that, click the more button at the top of your screen, hover your mouse over record and transcribe, and you'll see the option to start a recording or start a transcript. I'll just click on the option to start recording, confirm the language, and it's going to tell me that both the recording and the transcription have started. The transcript may or may not open automatically for you, and you can verify that it's running by clicking more, hover your mouse over recorded transcribe, and click show transcript. The AI assistant depends on that transcription to find information for you. Also, that recording and transcript must run for at least five minutes before the AI will have enough material to work with. At any time, now you can open this Copilot button at the top. It's going to open up the Copilot panel and people can ask questions using the chat field. So you could ask for a summary of the meeting or you could ask what you missed if you joined a meeting late, you can ask about specific topics discussed in the meeting, or even have Copilot create a list of action items based on what's being discussed in the meeting. But the way most people use this is to get a summary or ask questions after the meeting has actually ended. So I'm going to leave this meeting and of course the recording will stop when everybody leaves the meeting. After a meeting has ended, there's a few ways to get to the AI summary. You can find it in the calendar, come right to your meeting and click on it there, or you can go over to chat and find your meeting here. Here's a meeting I had with some of my coworkers earlier. So you can select the meeting you want to see information about, any chat that occurred while the meeting was going on, and you can open it up. Here's the recap, and you can also click this recap button right at the very top of the meeting. You can watch the meeting, see who is speaking and when, you can view topics or view your meeting by chapter. On the right, there's the AI summary, which summarizes the major points discussed in the meeting. Copilot uses the content of the recording and transcript to generate these notes, so you might find what you need here in the notes, but you can also ask the AI direct questions about the meeting. I see the Copilot button here on the top right, and I can click that to open up the chat panel. Here's some questions that were being asked while the meeting is going on, but I can ask any question at any time. For example, I'll ask a question the Copilot will only be able to answer using information from that meeting transcript. I'll ask, what is the attendance for Educon? Copilot is able to answer that question based on the meeting transcript. So with the extra paid Microsoft 365 Copilot license, you have that extra ability to ask questions or ask for summaries in the AI chat while the meeting is still in progress or from the meeting summary after it's finished.
