Generate drafts and modify documents in Word
- [Instructor] With Microsoft 365 Copilot, you can use AI tools inside of Office applications. Right now, I'm going to show you what you can do with Copilot in Word. With a document open, if you have a paid Copilot license, you'll immediately see the option to click Generate to create a summary at the top of the screen. This is nice if it's not your document. You can also notice this Copilot icon next to where the cursor is in the dock. I'll talk about that in a bit, but I also want to draw your attention to the Home ribbon tab all the way on the right-hand side. Both the licensed and non-licensed versions of Copilot will have this button. The panel will open. If you have a licensed version, it will remind you that you have premium Copilot features. Where if you're using the non-licensed version of Copilot, it will tell you that you're using the standard version. And again, here's your Work and Web tabs, and these will not be present in the unlicensed version. And just like Business Chat, you can click where it says, "Message Copilot," and type in your own prompt. For example, I'll ask if any of the Globe Bank executives have prior experience with other financial institutions. This way, I can ask questions about the doc based on content that's in that document. So instead of reading the entire document to find this information, Copilot can find it for me. I can get my summary right here. I can ask some follow-up questions or use the Message box, which can respond to lots of different prompts and questions. So I encourage you to try some ideas, but I'm going to close out of this for now by clicking the X in the top right-hand side of the pane. This time, I'm going to select some text in our document. With the text selected, I'll click the Draft with Copilot button. This, again, is only in the licensed version of Copilot. Here's where I get some action items. I can have my data visualized as a table. I can choose writing suggestions, and if I choose this, it's going to go through the selected text and review it for ways that I can improve my text. It's not going to change anything. Instead, it's going to give me ways of how I can improve my writing. So this is a great tool to be a better writer. I can also make it shorter or more formal. I can have it auto rewrite for me, and I can type in a prompt if I want it to draft things for me. If I click Rewrite, I'm going to get three new choices. I can scroll through these choices and view the three different ways that it's rewritten my text. I can further refine that with text. Click Regenerate to come up with entirely new options. I can insert the replaced text below, or I can completely replace the existing text that I had by clicking the blue Replace button. I can also close out of this by clicking the X button in the top right-hand side. For the next exercise, I'm going to scroll down to a new fresh blank line. I can still see that Copilot icon on the left-hand side. This is also what you're going to see when you start a new blank document. I'll click this, and I can have Copilot draft text for me. You can use natural language to write whatever request you have. The draft will be better if you can provide as much information and context as you can to Copilot. I'm going to ask it to write product descriptions comparing the different solar panel products from the company Kinetico. After typing a request, you can click Generate, and of course, Copilot will use the information that it finds to generate a draft. But I'm asking information for one of my clients. Now because this is Microsoft 365 Copilot and I'm licensed, it has the ability to search for information from messages or documents in my organization. Though, if I wanted to, I could reference a specific file. And remember, we do that by clicking the plus sign, and then start typing the name of the file. For example, here, I have a relevant PowerPoint presentation from my OneDrive, and you can reference as many as three files in each request. But let's see what happens without referencing that file. I'll hit the Delete key, click Generate, and it didn't need me to reference that file. It found information anyway, so here's the draft that it's making based on information it found from my Microsoft 365 account. And again, you can click the trash can if you don't like the draft or keep it if you want to use it. Remember, you do need to go back and check this information because it may contain some errors. You should always review and make revisions and only use these drafts as a starting point.
