Create and improve presentations in PowerPoint
- [Instructor] Copilot can be used in PowerPoint to help you draft new presentations or new slides, or it can be used to make improvements to a presentation that you already have. From the welcome screen in PowerPoint, I could click create with Copilot. However, I'm going to create a blank presentation because I'm going to show you a number of ways that you can get to that exact same screen. The first method is to use this Copilot button right above the slides, and you can click that for most of the commonly used Copilot actions, including creating a new presentation or adding a slide. On the home ribbon tab, of course, all the way to the right, we have our Copilot icon, and if I click that, it's going to pop open the window that you should be very familiar with at this point. You can have Copilot create presentations this way in which you just ask for it, create a presentation about, or create a slide about, or create an image with this or that. Whatever you're looking for. It even tells you right at the top. "Need insights or images? Just ask." So that's all you have to do. I'm going to close out of this, however, because I find it much more quick and efficient in PowerPoint to just always use this Copilot button here. We'll start by creating a new presentation. It's going to open up a dialogue box, and in the chat field I need to finish this sentence, "Create a presentation about." So I'll type "Best practices for financial management for small businesses." It's going to choose a design for me, but I can always click change design and pick something new. If I had an existing presentation template I was using, it would be listed here. I can also click Microsoft 365 to see some other ones I can choose, and any that my organization has given me to be able to use directly in my presentation, I can also find those here under your organization. I'll click cancel on this, and for now I'll just keep the standard design and click the generate button. Okay, I now have a starting draft of a presentation created by Copilot. You can think of this as a template, particularly customized for your topic. I can see all of my topics, and here are each individual slide. If I want to change the order, I can click and drag and reorder the presentation for any way that suits my needs. I can get rid of a particular section that I'm not going to need by hovering my mouse over it and clicking delete topic. Likewise, I can always insert one at any time by clicking the plus button to add a new topic. In this case, I'm happy with what I came up with, so I'll commit to it by clicking the red generate slides button. This is a great start. I'm going to click keep It, and then down at the bottom of the screen, I'll click the normal view button. This is probably how you're familiar with looking at slides in PowerPoint. Even if the information isn't quite right for your presentation, the design or the layout may give you a good starting point. You'll notice that Copilot has even given you speaker notes to use for this presentation. This is your presentation, and this should be considered first draft only, so you can go through and change any of this text and make it yours. You can even change the design. I'll click design suggestions on the slide. It's going to come up with some new ideas. I can pick one that I like. Here I can insert my own picture if I wanted to, or I could have Copilot create one for me. Let's make another blank presentation. This time, I'm going to choose to create a new presentation with file. As always, with Copilot, the more information you can provide, the more effective the draft will be, and a great way to provide that information in context is to reference a Microsoft Word document that already contains the relevant information. So this time it says "Create presentation about" and it's opening up the file dialogue. Let's see what I'm looking for here. So I'll search for it. I'll click send, and this has made a brand new presentation from a Word document that I've given Copilot. I'll click generate slides, and here's my presentation. Copilot can even help add individual slides. I want to add a new slide after slide number three. I'll place my cursor here, use the Copilot button and choose add a slide. I want to add a slide about choosing a financial planner. It's given me a number of layouts using designer, so I can browse, find the one that I like, and close out of the dialogue box. Take a look at the draft text to see if you need to revise the draft for your needs. But even if the text isn't perfect this first time, this is usually a great way to get a layout or a picture that matches the slide that you want to build. So use this Copilot button here, or you can use the Copilot pane on the right hand side, but either way is going to add so much functionality to PowerPoint. And by the way, if you open up somebody else's presentation and it's incredibly long, you can always ask Copilot to summarize it for you.
